Print the statements—not the working columns

Prepare an A4 financial statement workbook with consistent spacing, controlled print areas and deliberate page breaks. Keep calculations intact and download a separate formatted copy.

Format an Excel workbook free

XLSX · Up to 20 MB compressed · Processed in your browser. The preview estimates layout; native Excel print preview is the final check.

Choose the final sheets and print boundaries

Upload the XLSX in Format & print and select the sheets that belong in the financial set. A grey working area may contain vital formulas but should not necessarily be printed. Set the first/last relevant columns and rows for each sheet; do not delete the workings to conceal them.

For example, if columns A:G contain the statement and H:N contain workings, set the print boundary to A:G. Verify that the entity name, period heading, note references, comparative columns and all totals are inside the selected range. A note schedule may need a different range from the face statement.

Inspect hidden rows and columns before deciding whether to unhide them. Hidden content can be an intentionally excluded working schedule or part of the final disclosure. Unhiding everything for inspection is not the same as approving everything for publication.

A simple formatting walkthrough

  1. Try a sample first. Open Format & print and choose Try a sample workbook to inspect illustrative statements, linked notes and excluded workings without uploading your data.
  2. Preview, then select. Click a sheet name to preview it; tick its checkbox to apply formatting in the download. Use the sheet search to find a note quickly. Unticked sheets are retained unchanged.
  3. Enter the boundaries. Set First cell, Last relevant column and Last relevant row. For A1:G65, enter A1, G and 65. Use Exact range & hidden content to review hidden rows or columns.
  4. Style the page. Choose a Statement or Notes appearance preset, then refine margins and spacing. To keep numeric years or IDs unchanged, enter only your amount columns, for example D,E.
  5. Use the preview. Click a cell to mark its row as a Heading, Total or Body, or add a page break before it. Page and zoom controls help review continuation pages. Existing constants are editable; formulas and array formulas are read-only.
  6. Resolve download checks. The checks cover every selected sheet, not only the current preview. Click a named error to open that sheet's settings. Download a separate copy and inspect it in Office before distribution.

A4 layout checklist

  1. Paper and orientation: choose A4, using landscape only when the statement genuinely needs the width. Do not change the arithmetic to fit the page.
  2. Margins and width: leave space for binding and headers. Fit to page width if useful, but avoid forcing a long notes sheet onto one tiny page. Check that text remains readable.
  3. Repeating headings: repeat the appropriate title/amount headings on continuation pages, not an entire first-page block.
  4. Page breaks: keep a heading with at least some of its detail. Avoid leaving a subtotal alone at the top of the next page. Put breaks between logical notes or sections when practical.
  5. Number formats: align units and amount columns; use a consistent decimal policy, bracketed negatives and a deliberate zero format. Display formatting must not change stored balances.
  6. Spacing: distinguish note headings, subheadings and detail through restrained indentation and whitespace. A ruled total should add up to its supporting detail.
  7. Final check: download the copy, open it in Excel, recalculate, inspect Print Preview and then create the final PDF. Check every page, not just page one.

Make notes readable without inventing disclosures

A note should have a number and meaningful heading, legible narrative and consistently aligned amounts. Detailed schedules should reconcile to the referenced face-statement line. Separate reader-facing explanations from internal account-level calculations.

Do not substitute generic accounting policies for missing entity-specific disclosures. CloseSentry's generated notes contain supporting schedules and preparer-entered narrative; they are management drafts, not a complete statutory disclosure package. Opening balances are labelled as openings, not a full prior-year comparative set.

When a sheet continues, preserve context. A continuation page showing only amounts and no unit or heading is easy to misread. Avoid splitting a short disclosure across pages merely to match a visual template.

What the browser formatter does—and does not do

The tool keeps source formulas and non-selected worksheets while changing supported formatting and print settings on selected sheets. Existing constant cells can be edited; formula cells are read-only in this interface. Any dependent calculations remain at their saved values here and recalculate in Excel.

Browser page previews omit charts/images and are approximate. Fonts, printer settings and native Excel pagination can change the final result. Password-protected selected sheets, signed workbooks and macro-enabled formats are not supported. Keep the original and validate the downloaded copy before distribution.

Word and PowerPoint have basic text-formatting options, not full native layout editors. Their text-only previews cannot establish final rendered pagination or slide composition. Check those downloads in the corresponding Office application.
